Privacy Policy
This policy explains how Software Acumen Limited collects, uses and protects personal data when you visit acumensoftware.com, join our waitlist or use the Acumen Kakeibo app at app.acumensoftware.uk. It is written to meet the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and Japan's Act on the Protection of Personal Information (APPI).
1. Who we are
Software Acumen Limited, trading as Acumen Software ("we", "us"), is the controller of your personal data. We are registered in England & Wales (company no. 05210967) with our registered office at St John's Innovation Centre, Cowley Road, Cambridge, CB4 0WS, United Kingdom. Our representative is Andrew Mark Dalgarno, Director. Contact: hello@acumensoftware.uk or +44 7367 076117.
2. What we collect
- Waitlist: your email address, preferred language, the date you joined, how you found us (campaign tags in the link, if any) and a record of your consent to receive emails.
- Account: your email address, display name, password (stored only as a secure hash), language and currency settings, and the households you belong to.
- Household records you enter: income, expenses, categories, budgets and reflection notes. These can reveal things about your lifestyle, so please avoid putting sensitive information (for example, about your health) in free-text notes.
- We never collect bank or card login details. Acumen Kakeibo has no account-linking feature.
- Payments (Premium, once launched): handled by Stripe. We receive limited details such as your billing country, card brand, last four digits and expiry date, never the full card number. Acumen Kakeibo hasn't launched yet, so no payments are taken.
- Support: messages you send us and our replies.
- Technical data: IP address, browser and device type, and security logs (for example, sign-in attempts).
- Cookies and similar technologies: we only use those needed for the site to work. We don't currently use advertising or analytics cookies. See our Cookie Policy.
3. How we use it and our legal bases
| Purpose | Legal basis (UK GDPR) |
|---|---|
| Managing the waitlist and emailing you about your place and our launch | Consent (you can withdraw it at any time) |
| Creating your account and providing Acumen Kakeibo, including household sharing | Contract |
| Taking payment and keeping accounting records (once Premium launches) | Contract; legal obligation |
| Keeping the service secure, preventing fraud and abuse, fixing problems | Legitimate interests |
| Sending essential service messages (for example, security or billing notices, changes to terms) | Contract; legitimate interests |
| Complying with the law and responding to lawful requests | Legal obligation |
For APPI purposes, the purposes listed above are our purposes of use. We will not use personal information beyond them without your consent, except as permitted by law. We do not use your household records for advertising, and we do not make decisions about you based solely on automated processing.
4. Who we share it with
We do not sell your personal data. We share it only with:
- Service providers acting on our instructions: Vultr Holdings, LLC (server hosting, London data centre), Google LLC (Gmail, which we use to send waitlist emails and sign-in codes) and, once Premium launches, Stripe (payments). They are bound by contracts requiring them to protect your data and use it only to provide their service to us.
- People you invite to your household, who can see the records you share with them.
- Authorities or professional advisers, where the law requires it or to protect our legal rights.
- A buyer or successor, if our business is sold or restructured. We would tell you in advance.
We don't currently use advertising or analytics tags (such as Google or Meta) on our website. If we add them, we'll ask for your consent before they load and update this policy first.
5. Where it is stored and international transfers
Your data is stored on servers in a London, United Kingdom data centre operated by Vultr. Vultr is a US company. Our emails are sent through Gmail, so Google may process your email address and the emails we send you in the United States and other countries; Google is certified under the UK Extension to the EU–US Data Privacy Framework. If any of our service providers can access personal data from outside the UK, we rely on safeguards recognised under UK law, such as UK adequacy regulations or the International Data Transfer Agreement / UK Addendum to the EU Standard Contractual Clauses.
Information for users in Japan (APPI): your personal information is handled by us in the United Kingdom, a foreign country. The UK protects personal data through the UK GDPR and the Data Protection Act 2018, supervised by an independent regulator, the Information Commissioner's Office (ICO). Japan's Personal Information Protection Commission has designated the UK as a country with a personal information protection system equivalent to Japan's. Our hosting provider Vultr is a US company. It provides server infrastructure only and is not permitted to handle the personal data stored on our servers. We send emails through Gmail, provided by Google LLC, a US company, which handles your email address and the content of the emails we send you. Google protects this data under its own privacy policy and security measures, and is certified under the EU–US Data Privacy Framework. The United States has no single comprehensive federal privacy law, though some states, such as California, have their own privacy laws.
6. How long we keep it
- Waitlist data: until you unsubscribe or create an account, and in any case no longer than 24 months.
- Account and household records: while your account is open. When you delete your account, we delete this data within 30 days, and from backups within 90 days.
- Payment and invoice records: 6 years after the end of the financial year, as required by UK tax law.
- Support emails: 2 years. Security logs: 90 days.
7. How we keep it safe
- Data is encrypted in transit (HTTPS/TLS) and at rest on our hosting infrastructure.
- Passwords are never stored in readable form; we store only a hash created with an industry-standard one-way algorithm.
- Access to personal data is limited to people who need it, protected by two-step verification (a code sent by email), and logged.
- Everyone with access is bound by confidentiality and trained in data protection.
- Regular backups, security updates and review of our service providers.
8. Your rights
Under UK GDPR you can ask to access, correct or delete your data; restrict or object to how we use it; receive it in a portable format; and withdraw consent at any time (this does not affect processing already carried out). You can also complain to the Information Commissioner's Office at ico.org.uk, though we'd appreciate the chance to help first.
Under APPI you can ask us to notify you of the purposes of use; disclose your retained personal data (including records of provision to third parties); correct, add to or delete it; and stop using, erase or stop providing it to third parties.
Many of these can be done yourself in the app (export to CSV, edit, delete account). Otherwise, email hello@acumensoftware.uk. We may need to verify your identity. We respond within one month and do not charge a fee.
9. Children
Acumen Kakeibo is intended for adults aged 18 and over. Please do not create accounts for children or enter their personal details beyond what's needed for household spending categories.
10. Changes
If we make significant changes, we'll tell you by email or in the app before they take effect. The date at the top shows when this policy was last updated.
